• Answering a 6-line phone system
• Scheduling and dispatching service calls
• Creating electronic work orders with necessary information that is needed by the office & field technicians
• Daily updating of job times on work orders in TOM from technician's electronic work orders for payroll purposes
• Creating electronic purchase orders
• Daily updating of all PO's in TOM when corresponding supply house invoices/receipts are received
• Being able to separate all bid job work orders and purchase orders from service work orders/purchase orders
• Updating of work orders in TOM with newly generated PO's
• Following up of all technician's after hours handwritten work orders that require follow-up work to be performed
• Effectively manage the schedule of approximately 23 service technicians, knowing where the technicians are at all times due to constant schedule changes and emergencies
• Work directly with the service and installation managers, as well as Bid job coordinate
• Weekly scheduling meetings with management
• Address all customer questions and concerns about work availability and status of follow up/return calls
• Signing for shipment packages from different couriers and checking the parts in by PO (when the warehouse manager is not in house)
• Assisting in all aspects of a busy plumbing and HVAC-R business
